EXECUTIVE ASSISTANT/OFFICE MANAGER (full-time, in office)

Location: Tequesta and Jupiter, FL (Full-time in office, Mon-Fri 8AM-5PM)

Employer: Florida Inland Navigation District (FIND), an independent special taxing district and local sponsor of Florida’s Intracoastal Waterway in partnership with the US Army Corps of Engineers.

Position Summary: The Florida Inland Navigation District is seeking a high-level administrative assistant who demonstrates experience in government administration, event planning, and board coordination and meeting minutes. This is a responsible executive administrative work position in support of the Executive Director or Deputy Director. The ideal candidate has exceptional government clerical experience, handling various administrative tasks to ensure the smooth operation of a state agency office and a passion for boating and Florida’s waterways. Responsibilities:
- Provide administrative support to ensure efficient office operations
- Coordinate Board meetings, conferences, and events
- Handle incoming and outgoing communications
- Perform data entry and maintain electronic and hard copy filing systems
- Assist in preparing Board meeting minutes, reports, presentations, and correspondence
- Manage and update website
- Oversee office supplies and equipment maintenance
- Assist in special projects as needed (such as planning and implementation of the district’s 100th anniversary activities)

Skills:
-Government and Board administrative experience

-Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Experience with Outlook Calendar for scheduling
- Strong proofreading skills for accurate documentation
- Familiarity with DocuSign for electronic document management
- Ability to assist in event planning and coordination
- Knowledge of the functions, operations, and strategy of F.I.N.D.
- Proficient in data entry with high attention to detail
- Knowledge of phone systems for handling calls professionally
- Strong administrative and organizational abilities
- Previous experience in office management is a plus

Qualifications:

Associate degree plus 3-years of work-related experience; or a bachelor’s degree and 2-years of work-related experience; or a high school diploma and 5-years of work-related experience.

Exceptional clerical skills and proficiency with Microsoft Office suite of products, primarily Word, Excel, Access, and PowerPoint.

Previous experience with event planning.

Outstanding interpersonal skills: ability to work cooperatively with a variety of stakeholders including FIND staff and commissioners, agencies, elected officials, local governments and contractors.
